One screen for “from → to → when → how much”: sea line schedules and rates instead of manual work with emails and spreadsheets
A single platform for the logistics company TEC Operator that brings together two of the client’s requests — “Sea Line Schedule” and “Rate Calculator”. The system takes in documents from shipping lines and counterparties on its own (Excel, PDF, scans, emails, links), parses them into sailings and rates, shows a person exactly what will be applied, and calculates the shipping cost using the same reference data. Development is specification-first: a technical specification, a roadmap with acceptance criteria and a reference regression suite built on the client’s real documents; the interface has been shown to the client as an interactive 51-screen mock-up.
The task
The procurement manager copies schedules by hand from emails, spreadsheets and images, and the shipping cost is calculated in a separate program on another computer. The goal: the system processes 95–99% of documents on its own, a person deals only with exceptions, and “when and how much” is visible on one screen.
What’s inside
- Document intake that does not depend on the file name: Excel workbook, PDF, image (OCR in Russian and English), email, text; duplicates are caught by checksum and by content
- Parsing schedules into sailings: the document structure is detected from its layout, not from the counterparty; every value keeps its address in the source document (sheet, row, cell)
- Preview and human confirmation: the original value is stored next to the normalised one, doubtful rows are not deleted, auto-confirmation happens only when there are no warnings
- Unified schedule: merging of sources, exceptions and cancellations, a departure calendar, booking status, empty containers at the depot, ETA at the port of discharge
- Scheduled automatic collection from open sources: counterparties’ files and spreadsheets are polled via links, and each source shows its status and the reason it broke
- Rates: document parsers for each shipping line and counterparty, a rate catalogue with validity periods and version replacement, Drop Off, Central Bank exchange rates
